Senior Account Manager, Conferences 

IMN Solutions – Arlington, VA

The Senior Account Manager, Conferences will represent IMN Solutions and manage a portfolio of accounts. The Senior Account Manager, Conferences will work directly with IMN project teams, IMN clients and industry suppliers ensuring all client needs are met and expectations exceeded. Core job responsibilities require strong professional customer service, organizational skills, ability to multi-task, creative thinking and problem solving.

Conferences

  • The Senior Account Manager will serve on project teams to successfully execute in-person, virtual and hybrid conferences. Responsibilities include but not limited to:
    • Management of conference and event logistics; pre, on-site and post, in-person and virtual
    • Coordinate all aspects of the event planning process (hotel room blocks, all Food and Beverage functions, Audio/Visual needs, virtual platform, transportation, off- site activities, etc.)
    • Manage and coordinate all vendor, staff, volunteers as required and uphold all agreements
    • Exhibit Management and Tradeshow coordination in conjunction with Client team and Decorator
    • Create the event specifications document, staff schedule, run of show, lead regular meetings, manage staff on-site, etc.
    • Speaker Management
    • Registration and Housing Management
    • Develop and maintain program agenda
    • Manage CEU/CPE/CME (Continuing Education) process and needs as needed for client’s conference
    • Create, maintain, and manage balanced program budgets for each meeting in which IMN is responsible.
    • Execution of any sponsors, exhibitors and partner program deliverables
    • Plan and execute planning visits
    • Provide strategic guidance to Client regarding industry trends (COVID safety guidelines, pricing structure and innovative ideas for events)
    • Advise clients on virtual strategy as needed

Account Management

  • The Senior Account Manager will also manage a select portfolio of accounts for sourcing and contracting.
    • He / She will build meeting specifications and RFP’s based on client requirements and history. If the Senior Account Manager is not the account lead, RFP’s are discussed and approved by the Account Lead before final submission
    • Manage leads (Request for Proposals) in Cvent
    • Handle supplier inquiries on lead status and follow up on all leads with industry suppliers to ensure a quick response for the client (typically three days, although times vary)
    • Produce, edit and deliver options reports and/or client for review, as applicable
    • Work with destinations and hotels to arrange site visits for client and Account Lead. Create site visit itinerary to be shared with client, CVB and hotels
    • Build hotel contract based on negotiations
    • Produce and submit weekly pace reports using a spreadsheet format
    • Collect final hotel pick-up reports, food & beverage history and AV/Internet usage report. Submit final pickup to accounting for commission invoicing o Maintainrunninghistoryreports

Client Services:

  • Responsible for understanding the established SOP’s for IMN client accounts
  • Deliver exceptional customer service
  • Work directly with client and/or hotels to resolve issues

Database & Internal Support:

  • Ensure all account data is entered into IMN Database in a timely and efficient manner
  • Create and maintain client information electronically
  • Work in a highly collaborative team environment

Requirements:

  • Bachelor’s Degree preferred
  • 5+ Years in Hospitality Industry (Meeting Planning and/or Venue CSM) preferred
  • Strong knowledge or experience in project management and meeting planning
  • Familiarity or experience with virtual conferences a plus
  • Proficient in Microsoft Office; Adobe Acrobat; database management; Knowledge in cvent a plus
  • Attention to detail; organization skills; abiltiy to multi-task; interpersonal communication; strong negotiation tactics; strategic and analytical thinking are essential
  • This position will require travel to client meetings, industry events and site visits
